AI receptionists for Australian trades: stop losing jobs to missed calls

When you are on the tools, the phone goes to voicemail and the customer rings the next tradie. An AI receptionist answers every call, books the job and sends you a summary. Here is how it works.

You are up a ladder, under a sink or on a roof when the phone rings. You cannot answer, the caller does not leave a message, and they ring the next name on the list. Every tradie knows this happens. Few know how often.

An AI receptionist answers every call, in your business name, day and night. It finds out what the caller needs, books the job into your calendar, and sends you a short summary so you can call back the ones that need you.

What it does on a call

  • Answers straight away, including after hours, weekends and when you are on another call.
  • Follows your script: your services, your service area, your call-out fee and your hours.
  • Takes the details you need to quote or attend: name, address, what the problem is, how urgent it is, and photos by text if you want them.
  • Books the job into Google Calendar or your job management system, using the slots you allow.
  • Puts urgent calls through to your mobile, for example a burst pipe or no power, based on rules you set.
  • Sends you a summary of every call by text or email.

What it connects to

Most tradies already run their jobs in a system. The receptionist books straight into Google Calendar, and can pass jobs to tools such as ServiceM8 or Jobber where they allow it. On the first call we check what your system supports, before you pay anything.

Doing it properly

  • Tell callers they are speaking with an AI assistant. Most people are fine with it when it is fast and helpful; nobody likes finding out later.
  • Recording. If calls are recorded, say so at the start. Rules on recording differ between states, so keep the announcement in.
  • Privacy. Collect only the details you need for the job and keep them secure. If the Privacy Act applies to your business, the Australian Privacy Principles cover how you handle these details.
  • A way out. Callers can always ask for a person, and the call or a message goes to you.

Setting one up

  1. A short call to understand your services, area, prices and how you like jobs booked.
  2. Your script, written with you, including what counts as urgent.
  3. Testing with real scenarios: a quote request, an emergency, a wrong number, a complaint.
  4. Go live on your existing number, by forwarding calls you miss or all calls, whichever you choose.
  5. Monthly review of real calls to sharpen the answers.

Most receptionists are live within 14 days.

In Australia, setup starts at A$2,500, plus a monthly fee from A$400 that covers the phone number, call minutes and ongoing tuning. The price is fixed before we start.

Is it right for you?

If you miss calls while working, spend evenings ringing people back, or lose after-hours emergency work to bigger outfits, an AI receptionist is worth a look.
